# AI that saves time, not a gimmick

We use AI where it clearly helps: sorting new inquiries, drafting replies in your voice, and summarizing calls into your CRM. A person stays in charge of anything that matters.

## This is for you if:

- Inquiries arrive after hours and wait until morning.

## What's included

**Timeline:** A first use case running in 2 to 4 weeks.
**Price:** Quoted to your business, in writing, before we start.

## In plain terms

We use AI for three jobs: sorting new inquiries, drafting replies in your voice, and summarizing calls into your CRM. A person stays in charge of anything that matters. We start with one small use case, show you how it works, and add more only after that.

## Where AI helps and where it does not

AI reads a lot of text quickly and produces a reasonable first draft. That suits a few jobs in a service business well: working out what a new message is about, writing the first version of a reply, and turning a call into a short written summary.

It is wrong some of the time, so it should not decide anything about money, promises or an upset customer. It sorts and drafts, and a person approves what goes out.

## What we set up

- Lead sorting. Each new message is labeled as a quote request, booking, complaint or spam, and sent to the right person.
- Draft replies in your voice, written from your tone and your answers to common questions. You or your team approve or edit each one before it is sent.
- Call and chat summaries written into your CRM, so nobody types notes.
- First drafts of quote wording and follow-up messages, based on what the customer asked for.
- A written list, agreed with you, of what AI may send alone and what always needs approval.

## How it starts

1. We pick one use case, usually the one that costs the most time or loses the most leads, such as after-hours inquiries.
2. Before anything goes live, we explain what information the tool sees and where it is sent.
3. For the first few weeks, a person reviews every draft.
4. If drafts for a simple message type are consistently right, we can let those go out on their own. Everything else stays reviewed.

A first use case is usually running in 2 to 4 weeks.

## What we will not automate

- Pricing, discounts or promises about timing, unless a person approves each one.
- Replies to complaints or upset customers.
- Anything involving payments or refunds.
- Legal, medical or financial advice.
- Messages to a new list of people who did not ask to hear from you.

## Your data

We connect only what the job needs, and we show you what the tool can see before it is switched on. Customer details are not used to build anything for other clients. We tell you which tools we plan to use before we use them. Rules on personal data differ by country, and we set things up with that in mind. This is general information, not legal advice.

## Do you need a CRM first

It helps, because summaries and sorted leads need somewhere to go. We often set up a CRM first or at the same time. See CRM & Follow-up Systems.

## Is it worth it

Yes, when it saves paid hours or wins leads you would otherwise lose. If your volume is low or your questions are mostly unusual, a simple template reply may work better. We will say so, and we start small.

## What we need from you

- A list of the questions customers ask most, with your answers.
- Examples of replies you are happy with, so we can match your tone.
- A decision on what AI may and may not do.

## Who this suits

Businesses that get messages outside working hours, answer the same questions again and again, or lose time typing notes after calls, and want help while keeping control.
